MCA Clarifies Process to Update Registered Email ID for Companies & LLPs

Many companies and LLPs miss important MCA communications due to outdated email IDs. To address this, the Ministry of Corporate Affairs (MCA) has clarified a simplified and standardized process for updating registered email IDs in Master Data.

BODY

What is the MCA Update About?
The MCA has streamlined the process for updating the registered email ID of companies and LLPs through the MCA V3 portal. The key objective is to ensure accurate communication between regulators and businesses. (TaxGuru)

Earlier, email ID updates were often done through e-forms. However, under the V3 system, this method has been discontinued, and a more direct, digital process has been introduced. (CS Pratik K Shah Learning Center)

Who Needs to Update Email ID?

·         Companies and LLPs with outdated or inaccessible email IDs

·         Entities that are not receiving MCA notices or compliance alerts

·         Newly registered entities without proper email linkage

Process to Update Email ID (MCA V3 Portal)

For Existing Companies / LLPs with Business User Login:
Follow these steps:

1.      Log in to MCA V3 portal using Business User credentials

2.      Go to “Profile Update” section

3.      Select “Update Email ID” option

4.      Enter the new email ID

5.      Complete OTP verification

Important Requirement:

·         OTP authentication must be done by at least two Directors (for companies) or Designated Partners (for LLPs) (TaxGuru)

Once verified:

·         The updated email ID is automatically reflected in:
• Company/LLP profile
• MCA Master Data Services (LinkedIn)

For Entities Without MCA Login:

·         Register as a “Business User” on MCA portal

·         Use a unique email ID during registration

·         The email ID will automatically get updated in master data without separate request (TaxGuru)

Key Changes Introduced by MCA

·         No need to file e-forms for email update

·         Direct update through login-based system

·         Mandatory OTP verification for security

·         Automatic update in master data

These changes make the process faster, paperless, and more secure.

Legal & Compliance Importance

1.      Companies Act, 2013 (General Compliance Framework)

o    Companies must maintain correct and updated records with ROC

o    Incorrect details may lead to communication gaps and non-compliance

2.      LLP Act, 2008

o    LLPs are required to maintain accurate partner and communication details

3.      MCA21 System (Regulatory Platform)

o    Acts as the official database for company/LLP information

o    Email ID is used for notices, reminders, and compliance alerts

Failure to maintain updated contact details may result in:

·         Missing statutory notices

·         Penalties due to non-compliance

·         Delayed regulatory responses

Why This Update is Important

·         Ensures timely receipt of MCA notices

·         Improves transparency and communication

·         Reduces compliance risks

·         Eliminates dependency on outdated filing methods

Example:
A company failed to update its email ID and missed a notice regarding annual filing. This resulted in late fees and penalties. With the new system, such risks can be avoided by simply updating the email ID through the portal.

Practical Tip / CA Insight

Always use a generic and controlled email ID such as:

·         compliance@company.com

·         accounts@company.com

Avoid personal email IDs of employees or directors, as they may change over time. Also:

·         Regularly check the registered email inbox

·         Update email ID immediately in case of change

FAQ Section
